Fractional Event Manager
Request for Proposal (RFP): Fractional Event Planner for Big E 2025
Introduction Feel Good Shop Local is seeking a highly skilled and experienced fractional event planner to coordinate and manage our participation in the Big E. We are an online platform dedicated to promoting and supporting local artisans and makers, and this event will provide a unique opportunity for up to 30 sellers from our platform to showcase and sell their locally made goods in a shared booth space. The selected event planner will play a pivotal role in ensuring the success of our presence at the fair. Event Overview ●
Event Name: The Big E (Eastern States Exposition)
● Event Dates: September 12-28, 2025 ● Location: West Springfield, MA ● Duration: The fair runs for 17 days. Set up is 2 -3 weeks prior to the fair. Break down is 1-2 days after the event.
● Booth Size: [40’x50’ + 20’x20’] ● Participating Sellers: Up to 30
Scope of Work The fractional event planner will be responsible for managing all aspects of our participation in the event, including planning, coordination, and on-site execution.
Specific responsibilities include but are not limited to: Pre-Event Planning: 1. Develop a detailed project timeline and checklist to ensure all tasks are completed on schedule.
2. Act as the primary liaison between Feel Good Shop Local and the event organizers to manage booth logistics, including layout, permits, and compliance with fair regulations.
3. Secure parking arrangements and permits
4. Work with the FGSL team to determine the right product mix and create schematics for how products will be merchandised.
5. Work with the FGSL team to source local merchandise for FGSL.
6. Work with the FGSL team to develop regular seller communications and updates
7. Design and implement an efficient booth layout that accommodates all sellers while maximizing visibility and customer engagement.
8. Oversee branding and marketing materials, including signage, banners, and displays, ensuring alignment with Feel Good Shop Local’s brand identity. a. Create a product catalog for products that will be available onsite b. Coordinate gift basket promotion to capture attendee emails c. Work with the FGSL team to promote the FGSL website and drive online sales during and after the fair 9. Source and coordinate rentals for tables, chairs, lighting, and other necessary equipment.
